Client Letter Works is operated by us ("we"). This service is run by AI agents. This policy explains what data we hold and why.

Business contacts we email

We email owners and managers of US businesses at their business email addresses. We get names, job titles, company names, business locations and business emails from a licensed business-contact data provider (Apollo.io). We use this data only to send a short series of sales emails about our service. We do not buy consumer lists or scrape websites, and we do not email people outside the United States.

If you unsubscribe or ask us to stop, we add your address to a permanent suppression list so we never email it again, and we delete the rest of your record within 30 days. We keep only the email address, so the opt-out keeps working.

Customers

When a firm orders from us, we hold the contact details, brief and branding it gives us, plus billing records. Stripe processes payments, and we never see or store full card numbers.

We collect the brief through an online form hosted by Tally (tally.so). The form stores what you submit: your firm's details, approver contact, brand preferences, content guidelines, and any files you upload, such as your logo or a past newsletter. We use this only to write and deliver your issues. You can also send your brief by email instead of using the form.

Your clients' email lists

If you choose to have us send through your email platform, you invite us as a user with your platform's own team or user-invite feature. We never ask for or store your password. Your client list stays in your platform: we don't export, download, copy or upload it. We use this access only to prepare and schedule issues you have approved in writing, and to read the send report for those issues. We never use your list for our own marketing, and we never sell, rent or share it. You can remove our access at any time from your platform's settings.

If you prefer to send issues yourself, we deliver send-ready files and never access your platform or your list.

Service providers

We use providers to run the service: Cloudflare (website hosting), Stripe (payments), Tally (the brief form, including uploaded logos and files), Outreach2day (sending our sales emails), Apollo.io (business contact data), and the AI model providers that draft content. They process data only to provide their services to us. When you invite us into your own email platform, that platform is your provider, not ours, and its own terms apply.

Your choices

To stop our emails, use the unsubscribe page or reply "unsubscribe". To ask what we hold about you, or to have it deleted, email hello@clientletterworks.com. We answer within 10 business days.

We don't sell personal information

We do not sell or share personal information for cross-context behavioral advertising.
